4-Day Retreat at Nour Boutique Hotel, Dahab, Egypt
1. Introduction
1.1. These Terms and Conditions apply to all bookings for the 4-day retreat organised by Selfscape Retreats at Nour Boutique Hotel, Dahab, Egypt.
1.2. By making a booking for the retreat, you agree to comply with and be bound by these Terms and Conditions.
2. Booking and Payment
2.1. All bookings are subject to availability and will be confirmed upon receipt of the required deposit.
2.2. A non-refundable deposit of [Deposit Amount] is required at the time of booking to secure your place at the retreat. The deposit will be deducted from the total cost of the retreat.
2.3. The balance of the retreat fee must be paid in full no later than 60 days prior to the retreat date. Failure to pay the balance by the due date may result in the cancellation of your booking and forfeiture of your deposit.
2.4. Payments can be made via secure booking payment link, bank transfer and Stripe with confirmation of payment will be sent via email.
2.5. Participants are expected to check in at Nour Boutique Hotel from [Time] on [Date]. Check-out is required by [Time] on [Date]. Early check-in and late check-out requests are subject to availability and may incur additional charges which are at the discretion of Nour Boutique Hotel.
2.6. Special requests, including room preferences, should be communicated at the time of booking. While Selfscape Retreats will endeavour to accommodate these requests, they cannot be guaranteed and are subject to availability.
3. Cancellation and Refund Policy
3.1. If you wish to cancel your booking, you must notify Selfscape Retreats in writing at the earliest opportunity.
3.2. Cancellations made more than 60 days prior to the retreat date will result in the loss of the deposit only.
3.3. Cancellations made between 30 and 60 days prior to the retreat date will result in a refund of 50% of the total retreat fee, excluding the deposit.
3.4. Cancellations made less than 30 days prior to the retreat date will not be eligible for a refund.
3.5. In the unlikely event that Selfscape Retreats needs to cancel the retreat due to unforeseen circumstances (e.g., natural disasters, government restrictions, or insufficient participant numbers), you will receive a full refund of all payments made. However, Selfscape Retreats will not be liable for any additional expenses incurred, such as travel costs.
3.6. Eligible refunds will be processed within [X] days of receiving the cancellation notice. The refunded amount will be returned using the original payment method unless otherwise agreed upon
4. Changes to the Programme
4.1. Selfscape Retreats reserves the right to make changes to the retreat programme, schedule, or venue if necessary. Any significant changes will be communicated to participants as soon as possible.
4.2. If a change in the programme is necessary due to circumstances beyond our control, Selfscape Retreats will make every effort to provide a suitable alternative of equivalent value.
5. Health and Safety
5.1. Participants are required to complete a Health and Safety Questionnaire and Physical Activity Readiness Questionnaire (PAR-Q) prior to attending the retreat. This information is essential for ensuring your safety and well-being during the retreat and will be sent out to you directly to complete via the onboarding process.
5.2. Participants are responsible for disclosing any pre-existing medical conditions, injuries, or concerns that may affect their ability to participate in the retreat activities. Failure to disclose such information may result in exclusion from certain activities without refund.
5.3. It is the responsibility of the participant to consult with a healthcare professional before attending the retreat if they have any concerns about their ability to participate.
5.4. Selfscape Retreats reserves the right to refuse participation in certain activities if it is deemed that it may pose a risk to the health or safety of the participant or others.
5.5. In the event of a medical emergency during the retreat, Selfscape Retreats will make every reasonable effort to contact the participant’s emergency contact as provided in the Health and Safety Questionnaire. Participants consent to receive emergency medical treatment as deemed necessary by the retreat staff or medical professionals. Participants are responsible for all costs associated with such treatment, including transportation to a medical facility if required.
5.6. Participants agree to adhere to all safety instructions provided by Selfscape Retreats and Nour Boutique Hotel staff. Failure to follow these instructions may result in injury or exclusion from further participation in retreat activities, without refund.
5.7. By attending the retreat, participants acknowledge that they have read and understood all health and safety protocols, including those related to COVID-19, and agree to comply with them throughout the duration of the retreat.
5.8. Participants are required to inform Selfscape Retreats of any dietary restrictions, allergies, or special dietary needs at least 14 days prior to the retreat start date. While every effort will be made to accommodate dietary requirements, participants are responsible for ensuring the food provided meets their specific needs. Dietary requirements will be asked for during the onboarding process and it is the participants responsibility to disclose these.
5.9. Participants are responsible for their own self-care during the retreat. This includes making decisions about participation in activities based on their own physical and mental well-being. Selfscape Retreats encourages all participants to listen to their bodies and seek support from retreat staff if needed.
5.10. Participants will be briefed on emergency procedures and safety protocols upon arrival at the retreat. It is essential that participants adhere to these procedures to ensure the safety of all attendees
6. Insurance
6.1. It is strongly recommended that participants obtain comprehensive travel and health insurance that covers retreat cancellations, medical expenses, and personal property. For international participants, this insurance is mandatory and proof of coverage must be provided prior to the retreat.
6.2. Selfscape Retreats and Nour Boutique Hotel are not responsible for any loss, injury, or damage to persons or property during the retreat. Participants are responsible for their own insurance coverage.
6.3. Participants may be required to provide proof of valid travel and health insurance that covers participation in the retreat activities. This proof must be submitted no later than 14 days before the retreat start date.
6.4. Participants acknowledge that any costs incurred from personal injury, illness, or property damage that are not covered by their insurance are the sole responsibility of the participant. Selfscape Retreats will not be held liable for any uninsured losses.
6.5. Transportation to and from Sharm El Sheikh Airport and Nour Boutique Hotel will be provided via organised transfer yet if this is missed, it is then the responsibility of the participant. Selfscape Retreats may provide information or arrange transfers for an additional fee, which will be communicated to participants prior to the retreat. Participants are responsible for all their own travel costs to Sharm El Sheikh airport and ensure they have adequate travel insurance.
6.6. Transportation to and from Nour Boutique will be provided on the organised excursions as part of the retreat and if participants wish to travel around outside of these, they will need to organise their own travel and are responsible for all associated costs.
7. Code of Conduct
7.1. Participants are expected to behave respectfully and courteously towards other participants, staff, and the environment throughout the retreat.
7.2. Any behaviour deemed inappropriate or disruptive by Selfscape Retreats or Nour Boutique Hotel may result in the participant being asked to leave the retreat without refund.
7.3. Participants agree to adhere to the rules and guidelines provided by Selfscape Retreats and Nour Boutique Hotel, including respecting the privacy and confidentiality of other participants.
7.4. Participants must refrain from any behaviour that could be considered harassment, discrimination, or disruptive to the retreat environment. This includes, but is not limited to, verbal abuse, physical aggression, substance abuse, and any form of harassment based on race, gender, sexual orientation, religion, or disability. Violation of this code may result in immediate expulsion from the retreat without refund.
8. Photography and Media Release
8.1. By attending the retreat, participants agree to allow Selfscape Retreats to use photographs, videos, or recordings taken during the retreat for promotional purposes.
8.2. If you do not wish to be included in any promotional materials, please notify us in writing prior to the start of the retreat.
8.3. Professional photography and videography may take place during the retreat for promotional purposes. Participants will be informed in advance, and those who do not wish to be included may opt-out by notifying Selfscape Retreats prior to the start of the retreat
9. Liability
9.1. Selfscape Retreats will take all reasonable steps to ensure that the retreat is delivered as advertised. However, we shall not be liable for any direct, indirect, or consequential loss arising from any delay, alteration, or cancellation of the retreat.
9.2. Participants accept full responsibility for their own health and safety during the retreat. Selfscape Retreats shall not be held liable for any injury, illness, or loss that may occur during or after the retreat.
9.3. Selfscape Retreats is not liable for any loss or damage to personal property brought to the retreat by participants.
10. Force Majeure
10.1. Neither party shall be liable for any failure or delay in performing its obligations under this agreement if such delay or failure is caused by an event beyond the party’s reasonable control, including but not limited to natural disasters, war, strikes, or governmental restrictions.
11. Governing Law
11.1. These Terms and Conditions are governed by and construed in accordance with the laws of the United Kingdom. Any disputes arising out of or in connection with these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales.
11.2. Any legal proceedings arising out of or in connection with these Terms and Conditions shall be brought exclusively in the courts of England and Wales.
12. Privacy Policy
12.1. Selfscape Retreats is committed to protecting your privacy. Any personal information provided by participants will be kept confidential and used solely for the purposes of retreat administration.
12.2. Selfscape Retreats is committed to complying with all relevant data protection laws, including the General Data Protection Regulation (GDPR). Personal data collected will be processed lawfully, fairly, and transparently, and will only be used for the purposes of managing your participation in the retreat
12.3. Personal information collected for the retreat, including health information, will be retained for the duration necessary to fulfil the purposes for which it was collected, or as required by law. Typically, this information will be retained for 12 months after the conclusion of the retreat, after which it will be securely deleted.
12.4. Selfscape Retreats will implement appropriate technical and organisational measures to protect your personal information against unauthorised access, accidental loss, or destruction. These measures include secure storage systems, encryption, and access controls.
12.5. Participants have the right to access, correct, or delete their personal information held by Selfscape Retreats. Requests for access, correction, or deletion can be made by contacting [email address]. We will respond to such requests within a reasonable timeframe.
12.6. With your consent, Selfscape Retreats may use your personal data, including your name and contact information, to send you updates about future retreats and wellness programmes. You may opt-out of receiving these communications at any time by contacting us or clicking the “unsubscribe” link in any marketing email.
13. Severability Clause
13.1. If any provision of these Terms and Conditions is found to be invalid or unenforceable by a court of competent jurisdiction, such invalidity or unenforceability shall not affect the other provisions of these Terms and Conditions, which shall remain in full force and effect.
14. Entire Agreement Clause
14.1. These Terms and Conditions constitute the entire agreement between the parties concerning the subject matter hereof and supersede all prior agreements and understandings, whether written or oral.
15. Indemnity Clause
15.1. Participants agree to indemnify and hold harmless Selfscape Retreats, its officers, directors, employees, and agents from any and all claims, damages, liabilities, and expenses arising from their participation in the retreat, except where such claims are due to the negligence of Selfscape Retreats.
16. Dispute Resolution
16.1. In the event of any dispute or disagreement arising out of or in connection with these Terms and Conditions, the parties agree to first attempt to resolve the matter through good faith negotiations. If the dispute cannot be resolved through negotiation, the parties agree to seek resolution through mediation or arbitration before pursuing any other legal remedies.
17. COVID-19 Clause
17.1. In the event that the retreat is cancelled or postponed due to COVID-19-related restrictions or other public health concerns, participants will have the option to receive a full refund or reschedule their participation for a future retreat.
17.2. If a participant is unable to attend the retreat due to COVID-19 travel bans, health concerns, or quarantine requirements, they must notify Selfscape Retreats as soon as possible. Refunds or rescheduling options will be provided on a case-by-case basis.
By making a booking and participating in the retreat, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.
